Whether you are a small business owner with, or without staff, standard operating procedures are important for your business.   Each Standard Operating Procedure is individualised to each business, as each business operates differently with different locations, business models, desired outcomes, procedures, and goals.

SOPs keep the processes of all services, communication, cleaning, first aid emergency procedures and more uniform, to reduce miscommunication, undercharging or over charging, changes in service quality and reduce risks and accidents occurring.  They help achieve efficiency, while keeping quality control of the services output by the business, and customer service experience consistent, and compliant with industry standards. SOPs help keep a safe working environment and train new staff members. They also ensure the animals are groomed safely and humanely and all equipment is used, maintained, and cleaned appropriately. SOPs form a part of your Policies and Procedures Manual.

Okay, but I have no staff, why would I need an SOP?  An SOP for you would be like a plan.  What’s your plan for if you are sick and need to move clients?  You will need a procedure for that, including your text message, email or call script. What’s your plan if there was a flood or fire for contacting the insurance company and clients?  What’s your plan if a pet was to be injured at your salon, including how to contact insurance, client, vet, and documentation required. The last thing you want do if figure out all of the procedures you need to do while you are stressed and flustered.

What is a policy?

A Policy is a set of guidelines that are developed by the business to govern how it functions.  An example is a cancellation policy. Businesses must have these in place, to avoid confusion and conflicts with customers, employees and employers.

What is a Standard Operating Procedure?

A Standard Operating Procedure is a list of detailed instructions on how to complete a routine process such as cleaning a bath, talking to a customer, carrying out a lion clip on a cat safely and to standard.

An example of what’s included in a Standard Operating Procedure may include:

Procedure Name eg, Cleaning the stainless-steel bath at the conclusion of the Day

Implementation Date:

Revision Date:

Revision Number: e.g. 1.0

Written by:

Purpose: What is the desired outcome of this SOP?  What is the scope of the SOP?  e.g. For a stainless-steel dog bath cleaned at salon ready for the next grooming day.

Application/Responsibilities: Who is to apply this?  Who is responsible for this process e.g. The bathing staff or cleaner

Procedure Steps: Outline the process as if you are teaching someone the steps who has never cleaned a pet bath.  Make sure these are clear and concise so there is no room for error.

Resources:  What tools, materials or supports does the user need to meet the SOP’s goals? e.g. MSDS of disinfectants, WHS regulations and use.

These are just an example, contact your local business corporation to find one that will apply to your business. Another example is a Safe Work Procedure.

With technology advancing, you can even ask AI to write a Standard Operating Procedure for you, but these will not be related directly to your industry and workplace, only generalised.

AS a business owner your must evaluate the written procedures periodically to ensure they are being followed and are effective and still relevant.

When you purchase a new piece of equipment, write a new SOP on using this equipment, including WHS and the instruction booklet.
